This is a position that requires a reliable, confident, energetic, organized, independent thinking individual with good communication skills and a working knowledge of Microsoft Office applications (specifically Excel) to assist with day-to-day office operations. The ability to continually learn and grasp new concepts. We are looking to fill it with new energetic team member.
Primary Responsibilities
- Greet visitors and answer incoming calls in a professional and friendly manner, determines their need and direct them to the appropriate department or individual or takes a thorough message.
- Manage tolls and violation process, including research, coding, invoice delivery to customer.
- Monthly mileage collection.
- Provide administrative support for our Lease and Rental operations by performing or assisting with a variety of task including. Invoicing, mailing, account reconciliations, customer calls, account payables and receivables, filing, data entry, mileage entry, fuel billing
- Responsible for day-to-day management and overall efficiency of the Idealease administrative operations.
- Continually review and monitor legalization issues regarding Lease and Rental units, advising staff as necessary with expirations or other potential issues.
- Develop and maintain secure filing systems.
- Learn how to use our Idealease Management System (IBS) effectively and efficiently Interact with Idealease Account, Service, and Rental Managers for new units being in-serviced and units being removed from service.
- Track and process equipment going in and out of service and reconcile unit count.
- Assist with collection calls as required to ensure customers are aware of past due invoices.
- Assist with the review, accurate tracking and archiving of Certificates of Insurance for entire fleet.
- Assist with licensing the Idealease fleet.
- Develop and maintain a secure filing system for all contracts and units.
- Continually review and monitor licensing and registration and upkeep files accordingly.
- Assist with billing
Qualifications
- High school diploma or general education degree (GED), Associates of bachelor’s degree preferred not required.
- Relevant experience in commercial Lease/Rental or transportation industry preferred not
- Comfortable in a fast-paced environment.
- Understanding of basic accounting and finance principles.
- Working knowledge of MS Office Suite; particularly Excel, Outlook.
- Well, organized with attention to detail.
- Must be able to manage multiple priorities and deadlines.
- Ability to work well in a team and have flexibility with daily tasks.
- Experience with learning in a variety of web-based applications and management systems preferred.
- Excellent written and communication skills.
- Strong organizational, problem solving, and time management skills are a required.

EDUCATION and/or EXPERIENCE
- High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
LANGUAGE SKILLS
- Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
MATHEMATICAL SKILLS
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
REASONING ABILITY
- Ability to apply common sense understanding to carry out simple one- or two-step instructions. Ability to deal with standardized situations with only occasional or no variables.
