Job description
Lynker is seeking an Administrative Support Specialist to assist with a variety of administrative tasks, and also support the Superintendent for HIHWNMS and the PIR Regional Director in Hawaii. The Administrative Support Specialist selected will need to report to the HIHWNMS facility in Kihei, HI or the NOAA IRC in Honolulu, HI, anywhere from 2-3 days a week. The remainder of the week, the Administrative Support Specialist selected will be able to work remotely from home, depending upon their experience.
Core responsibilities of the Administrative Support Specialist will include, but are not limited to the following:
- Performs tasks such as providing administrative and office management support for multiple staff and offices.
- Provides general clerical duties including maintains records, manages calendars, answers and directs incoming calls, receives, prepares and verifies documents, types, files, receives, reviews and prepares correspondence, faxes, photocopies, and ships mailings via UPS, USPS etc.).
- Updates phone lists, receives and assists visitors, performs duties associated with opening and closing the office, schedules meetings, meeting rooms and conference lines, assists with logistics and preparation of scheduled meetings, workshops or events, maintains condition of common spaces.
- Assists in maintaining internal accounting and fiscal records and coordinates balancing and closing of accounts, assisting in reconciling expenditures with fiscal reports and prepares budgets for review as needed, assisting with the gathering of data and preparation of pertinent financial worksheets/reports and other administrative requests, preparing and coordinating the documentation of administrative, fiscal, and programmatic processes and procedures.
- Assists with federal employee time and attendance, including assisting with timesheets and leave forms. Coordinates and maintains record of employee timesheets, leave forms, and files within the appropriate systems.
- Assists in establishing, maintaining and organizing subject matter files, maintains the central filing system and key inventory; assists with logistics for various site projects.
- Assist with meeting and event logistics preparation and execution.
- Provides other administrative assistance as needed.
The Administrative Support Specialist selected should have the following:
- MUST HAVE EITHER – A Bachelor’s Degree – OR – 4+ years of experience working in an office environment.
- Experience providing administrative support for an office with multiple locations and staff.
- Excellent verbal and written communication skills.
- Skilled in Microsoft Office (Word, Excel, etc), online collaboration tools (Google Workspace/Suite preferred), and good general computer operation skills.
- Working knowledge of basic budgeting procedures including tracking expenditures.
