The Administrative Secretary - Student Support Services (SSS), reports to the Director of Student Support Services. General responsibilities include, but are not limited to the following: (1) Provide secretarial support for SSS; (2) Perform all secretarial/reception duties and general office procedures, answer telephones, assist students in application process, answer questions about the program and advertise events; (3) Maintain confidential student database and files on all participants; (4) Create a pleasant, professional, welcoming atmosphere conducive to student success; (5) Provide computer lab assistance; (6) Prepare monthly reports and assist in annual federal report; (7) Assist in hiring and assigning tutors; (8) Maintain tutoring records and instruct tutors on completing accurate time sheets; (9) Assist with travel plans, inventory, purchase requests and budget updates; (10) Participate in professional developmental trainings; (11) Actively participate in the institutional goals and objectives designed to support the mission of the college; (12) Accept other duties as assigned by the Director; and, (13) Nothing contained herein shall limit the president in assigning the employee to any of the various college activities for which he/she would be qualified in order to meet the needs of New Mexico Junior College.

Qualifications

An Associate's degree from a regionally accredited institution in Office Technology or related field is preferred. Database management experience required as well as experience with computer software such as Microsoft Word, Excel, PowerPoint, FileMaker Pro and Desktop Publishing. The successful candidate must possess the ability to maintain a student database and consolidate data into monthly reports. A demonstrated sensitivity to the needs of first-generation, economically disadvantaged students is imperative, along with the ability to maintain confidentiality at all times.

Additional Qualifications

This is a twelve-month non-exempt position funded by a grant. Continued employment will depend on grant funding. Standard NMJC benefits apply.
