Job Overview
- Work Schedule: 35 hours per week onsite, 9-5 with flexibility
- Employment Type: Regular, full time
- Pay Type: Salaried; $45-55k
Program Overview:
Urban Family Center provides transitional housing and supportive services for families, their children, and survivors of domestic violence. In addition to housing, residents receive on site social services, including individual/group counseling, support groups, family case management, housing search assistance and employment preparation. UFC has a seamlessly integrated, comprehensive on-site social service program that helps residents restore and rebuild their lives while managing their housing crises.
Responsibilities:
- Manage the inbox and calendar for the senior director of UFC; assist with triaging urgencies, typing and sending email correspondence, retrieving and filing confidential information
- Schedule meetings, interviews, and events; coordinate schedules, logistics, and food as needed
- Prepare meeting and event materials; attend meetings and take detailed minutes
- Liaise with all Henry Street divisions to ensure cross departmental projects are completed
- Assist the UFC leadership team with administrative tasks, audits, and documentation; create and manage systems of tracking for departmental responsibilities
- Review records for documentation compliance with funding agencies and track compliance
- Maintain up to date critical timely submission of mandated reports
- Maintain and update staff monthly activity calendar, team meetings, and distribution of minutes
- Perform general clerical duties to include but not limited to photocopying, faxing, mailing, printing, filing and phone calls.
- Provide front office coverage as needed
- All other duties as assigned by manager
Qualifications:
- Associate’s Degree required; Bachelor’s Degree preferred
- 2 or more years of experience working in an administrative assistant or executive assistant role required
- Proficient in Google Suite, Microsoft 365, and Zoom required. Experience with CARES software preferred.
- Outstanding written and verbal communication
- Exemplary reading and typing skills
- Excellent interpersonal skills, ability to interact with a variety of team members
- Understanding the needs of a diverse population
- Professional, courteous demeanor
- Strong organizational skills, ability to anticipate needs and work independently
- Passion for the nonprofit sector and our mission
- Self-motivated and able to work under pressure in a fast-paced environment
Essential Physical Job Functions:
- Ability to communicate clearly
- Ability to perform tasks that require lifting, reaching, and bending
- Ability to climb 6 flights of stairs
- Vaccinated against COVID-19
- Ability to work onsite in the Lower East Side
