The Role
We are looking for an Administrative Coordinator to join the External Development team within the ProbablyMonsters Product Group. Reporting to the Director of External Development, you will serve as an integral support pillar of the team, coordinating internal communication, assisting with scheduling and partner communication, tracking status, and providing administrative and program support to all External Development team leadership. You will be one of the main faces of our group to our external partners, often acting as one of their first points of contact, and help our dev teams to be more efficient by being amazing at coordinating the details of engagements so they can focus on building great games in collaboration with our wonderful partners.
This is a full-time on-site position based in our Bellevue, WA office. Remote and hybrid work arrangements will not be considered for this role.

What You Will Do:
- Prepare and send external partner paperwork including NDAs, contracts, and work orders for signature, tracking status and filing documents upon completion
- Assist in maintaining internal database of partners with up-to-date information
- Process support tickets that may require coordination across multiple teams, keeping stakeholders informed on progress
- Serve as a liaison between external partners and internal teams
- Draft and finalize departmental correspondence
- Collect, track, and report essential metrics
- Assist in scheduling meetings between partners and internal staff
- Perform outreach to current and potential vendors, capturing and recording relevant information including upcoming capacity for projects
- Coordinate and track status of deliverables for small-scale projects
- Perform additional tasks in support of External Development team initiatives as assigned
Qualifications:
- Experience managing workflows in DocuSign, Ironclad, and/or similar e-signature platforms
- Exceptional organizational, analytical, prioritization, and time management skills
- Excellent written and verbal communication and interpersonal skills
- Ability to maintain confidentiality of sensitive information
- High-level mastery of Excel and PowerPoint highly desired
