Job description
The office administrative support person is a front line office position providing customer service in the academic department’s main office. This position is expected to identify and seek solutions for administrative problems within the department and to recommend new procedures to organize/improve workflow.. Under the direction of the department administrator, the primary responsibility of the academic department administrative associate is to execute the day-to-day administrative operations of the department, guide the faculty through university policy and procedure, and perform a variety of general office/clerical duties on a daily basis.

Special Schedule Requirements
This is a part-time position, specific schedule to be determined during hiring process, and will allow for a remote work arrangement in accordance with the University’s Remote Work Guidelines and Policies for Staff.

Qualifications

Education & Experience
Four-year college degree with one year of experience related to the position, or an equivalent combination of education & experience preferred.

Knowledge & Skills
Intermediate proficiency in Microsoft Word, Excel, Access, PowerPoint, Adobe and Google Apps and Platforms. Ability to learn other software such as Banner and Salesforce. Demonstrated ability to coordinate events. Excellent physical and electronic organization skills. High level of professionalism and diplomacy.

Key Responsibilities

Key Responsibility
Coordinate, schedule, and organize departmental seminars, events, and meetings, including a) weekly MMAE seminars, b) MMAE poster competitions, c) MMAE welcome events, d) MMAE Board of Advisors meetings, e) academic, promotion, and social meetings and events for MMAE faculty, staff, and students.

Key Responsibility
Facilitate departmental communications internally (faculty, staff, and students) and externally (alumni and visitors). Back up front office and financial operations on an as needed basis. Provide backup to front office and financial operations on an as-needed basis. Perform other related duties as needed or assigned.

Work with Armour College Dean’s office and M&C Department to update and maintain information and recruiting materials. Update and maintain MMAE webpages, MMAE calendars, and related communications.

Provide administrative support for MMAE faculty searches and promotion and tenure cases. Provide administrative and clerical support for MMAE faculty and staff.
