About the role
The Administrative Assistant provides top level administrative support to the executives and management group in areas including but not limited to; schedules meetings, booking travel arrangements, managing storage file inventory, preparing expense reports & meeting minutes.
You may be eligible for a $500 net sign on bonus to be paid out in your first paycheck
What you'll be doing
- Provides support and assistance to all business departments within Balfour Beatty Investments as necessary.
- Manage and coordinates travel for the Team
- Provide administrative support to Contract Management, Operation Assurance, Risk Management teams as needed
- Oversees storage file inventory and records retrieval, including labeling and document imaging.
- Participates in and maintains accurate conference call agendas and minutes.
- Provides meeting assistance for meeting minutes
Typical Physical Demands: Regularly uses hands to manipulate phones, computer keyboard and similar tools. Ability to view computer screens, mobile devices, and other electronic equipment, for extended periods of time. Sit and stand to perform administrative work. Regularly lift and move office supplies up to 20 lbs.
Work is performed in an office environment. Employee must travel throughout the company footprint as required.
Who we're looking for
- High School diploma or GED required
- Associates Degree preferred
- Minimum of 3 years of administrative support
- Ability to take initiative and follow-through on requests until completion
- Ability to anticipate executive management needs.
- Demonstrates a strong customer service philosophy and team- oriented approach.
- Ability to meet or exceed deadlines, prioritize and strong organizational skills.
- Administrative background with proficiency in Microsoft Office Suite to include Word, Excel and Power Point, Smart sheet, DocuSign.
- Ability to stay focused and on task.
- Capable of maintaining the highest degree of confidentiality
- Ability to maintain accurate record keeping
- Acts in a manner of integrity that shows support for the company, its values, and the employees while maintaining constant focus on meeting/exceeding management expectations
- Possession of a valid state issues driver s license and safe driving record are required
