Job description
JOB SUMMARY
Performs complex administrative work and provides assistance to the International Department Principal in administrative areas. Work is performed under the general supervision of the International Department leaders.
ESSENTIAL FUNCTIONS:
ADMINISTRATIVE SUPPORT
Coordinates travel needs.
o Will make travel arrangements (booking flights, cars, hotel & restaurant reservations).
o Acts as the point of contact in this regard.
Maintains appointments and arranges meetings (circulates agendas).
Assist with the development of all manuals.
Provides hospitality to visitors (inc. overseas program schedules, itinerary, basic needs).
Prepares calendar of events for team meeting.
Develops and maintains filing system and organizes all documents.
Creates all necessary documents for school functions.
Prepares meeting agendas and document meeting minutes as required.
Responsible for analyzing incoming memos and submissions (distributes as needed).
Orders office needs and maintain contact lists.
Screens phone calls and routes callers to the appropriate party.
Responsible for submitting and reconciling expense reports.
Responsible for coordinating events and school activities as assigned (including winter & summer camp).
Provides general administrative support and performs all other duties as may be assigned.
QUALIFICATIONS:
1. Bachelor’s degree or higher preferred.
2. Must be a professing, born-again Christians in accordance with Southlands Schools International’s religious 501-C3 bylaws.
3. Proficient using the latest versions of Microsoft Word, Excel, PowerPoint, Access, and mail merges; email and web searches.
4. Graphic design experience is a plus.
5. Must possess excellent oral and written communication skills, an ability to organize and prioritize work flow, as well as organizational skills for a fast-paced working environment.
6. TB clearance with the last four years.
7. Criminal Justice fingerprint clearance.

PHYSICAL DEMANDS:
Sitting (60%), standing (10%), walking (10%), lifting (5%), climbing (5%), stooping (2%), bending (2%), squatting (6%). Must be able to lift 5 pounds.
WORK ENVIRONMENT:
Floating desk assignment and/or shared office space may be required; moderate noise levels commensurate to office environment; possible noise and shaking from gym use; possible food related odors/smells from teacher’s lounge.
