Administrative Assistant I - Training Center

MAJOR FUNCTIONS:
The Volusia Sheriff’s Office is seeking an Administrative Assistant I for the Training Center in Daytona Beach, FL. With the new Deputy Academy, the Training Center is in charge of ensuring all of our law enforcement personnel is ready to go out in the field. As our Administrative Assistant I you will be the first employee customers will see when they go into the building. Responsibilities include registering staff for training classes, maintaining training records, and performing various front desk duties.
Excellent customer service is a must!
ILLUSTRATIVE DUTIES:

- May serve as a clerical specialist in maintaining a computerized databases for the Training Center which includes updating and purging records, preparing/formatting reports, and trouble-shooting system problems.
- Performs specialized and technical clerical and record keeping duties with a minimum of supervision.
- May perform receptionist duties for the Training Center including typing, filing, copying, faxing, mail distribution, etc.
- May keep appointment calendar for Training Center staff.
- May maintain time records for Training Center personnel.
- May maintain sensitive or complex Training Center records such as personnel files, project files, program files, etc.
- May process Training Center accounts payables.
- May process field purchase orders, requisitions, travel forms, etc.
- May be responsible for maintaining stock levels and ordering supplies.
- May perform secretarial type work for the Training Center.
- Receives telephone calls and contacts from citizens requesting specialized information of services.
- Receives and passes on to proper person in the Training Center any complaints from citizens regarding service or related information.
- Addresses routine or general questions relative to procedures, policy or operations.
- Researches and assembles a variety of data from office records for incorporation into various reports.
- May be assigned to other county locations based upon operational needs.
- Attends work on a regular and consistent basis.
- Must adhere to Federal, State, county and Local ordinances.
- Responds to emergency situations.
MINIMUM REQUIREMENTS:
Graduation from high school or possession of a GED, AND two (2) years of general clerical/secretarial work experience.
*A pre-employment skills test may be required.
Background Screening: The position will require an extensive background investigation, medical exam and drug screening.
KNOWLEDGE, SKILLS & ABILITIES:
- Knowledge of modern office practices and procedures.
- Knowledge of business English, spelling, punctuation, and commercial arithmetic.
- Able to use modern office equipment including but not limited to; multiline phone, computers, and copy/fax machine.
- Able to understand and follow oral and written instructions.
- Able to prepare routine documents and compose business letters and memoranda.
- Able to receive the public with considerable poise, tact, patience and courtesy.
- Able to make minor decisions to relieve the schedules of supervisors.
- Able to establish and maintain harmonious working relationships with other employees.
- Able to work independently without direct supervision.
- Able to learn and use various computer software.
- May require skills in taking and transcribing minutes
- Able to work under stressful conditions.
- Able to interact effectively with others.
- Must be able to relocate to other county locations based upon operational needs.
ADA REQUIREMENTS:
Mental Demands: Ability to read and comprehend instructions. Ability to communicate effectively. Ability to construct compound, complex sentences and paragraphs. Ability to perform basic mathematical computations (addition, subtraction, multiplication, division.) Ability to analyze data and develop a conclusion.
Physical Demands: Sedentary work. Ability to see, hear, talk; finger dexterity.
Environmental Demands: Inside work.
