Position: Administrative Assistant - MH/SU Care Management

Category: Non-Exempt

Salary Range: $32,144 - $40,143

Primary Purpose of Position: The Administrative Assistant provides administrative functions and support to the Director of Care Management which includes preparation of documents, word processing, filing, complete minutes of meetings, and other duties as assigned.

Responsibilities and Duties:

The Administrative Assistant is responsible for (though not limited to):

  • Responsible for interpreting and carrying out established programs and/or departmental policies and procedures. Manages records and reports activities involving implementation of program objectives using existing procedures or devising new methods as necessary.
  • Will provide a wide range of support services necessary for the Supervisor to accomplish their work and for program operations. Administrative functions may include composing letters, memorandums, and reports which may require independent research; making arrangements for conferences and meetings; screening calls and visitors; planning and arranging for the maintenance and preparation of information needed for reports; and monitoring staff activities related to commitments made by the supervisor.
  • Other functions include office support/procedural tasks such as: general office tasks, screening and routing materials based on content; providing receptionist and telephone services; providing typing and proofreading services; and related activities.
  • Ordering supplies for Care Management department as needed.
  • Maintains and processes daily reports regarding hospital information and caseload lists.
  • Prepares minutes for staff meetings and other assigned meetings within department.
  • Provides assistance with purchase orders.
  • Assist Supervisor with maintenance of ADP timesheets.
  • Will perform other related duties as assigned by supervisor.

.Education/Experience: Completion of high school or equivalent and four years of progressively responsible secretarial or clerical/administrative/ office management experience; or completion of a two-year secretarial science or business administration program and two years of progressively responsible secretarial or clerical/administrative, office management experience; or completion of a four-year program in a college or university preferably with major emphasis on coursework in business administration, public administration, or other related field; or an equivalent combination of training and experience. Skilled in the use of Microsoft Office products, Word, Excel and Power Point.

Working Conditions: This is a semi remote position which occurs primarily during normal working hours.
