BronxConnect Release the Grip - Administrative Assistant

Program Overview:

The BronxConnect Release the Grip Program is a community-based gun violence prevention program that aims to reduce and prevent shootings through the use of public health strategies. The program is a replication of the evidence-based Cure Violence model. The model includes work with community residents, businesses and community-based organizations to reduce and prevent shootings and killings in defined hot spots within the 44th Precinct (Morrissania and Highbridge sections) and the 48th precinct (Belmont section) of the Bronx.

The program works to prevent gun violence by:

1) mediating conflicts that may end in gun violence, 2) changing the thinking of individuals who are most at risk of being victims or perpetrators of violence, and 3) working closely with a broad coalition of local partners to promote a visible community-wide message that shooting is unacceptable behavior.

Position Description:

The Administrative Assistant is responsible for the creation, maintenance, and quality assurance of the program records, including youth participant files, database system, program resources, activity records, and miscellaneous program records. The Administrative Assistant also assists the Program Director and Program Supervisor in program administration, marketing and development, and coordination of program activities and services. The position further provides general support to the BronxConnect Team. The BronxConnect Release the Grip Administrative Assistant reports to the Release the Grip Program Director in terms of the Release the Grip BronxConnect program and management, and to the BronxConnect Executive Assistant in terms of all billing.

Responsibilities include but are not limited to:

· Effectively executing the daily administrative tasks regarding the overall office management, organizing the office schedule and office activities at our Belmont Site.

· Providing administrative support to the Program Director and Program Supervisor.

· Produce and deliver monthly billing milestone services in each youth’s hardcopy files, according to stipulations of program contracts, and provide ongoing projections for maximum performance of contract.

· Maintain and oversee record keeping systems of program – both electronically and manually.

· Ensure thorough quality assurance documentation meets regulatory guidelines and completed in a timely manner for each youth file.

· Maintain and/or develop an organized filing system.

· Serve as initial program contact for incoming information, calls, and messages. Centralize and distribute information accordingly.

· Assist Program Director in creating and maintaining marketing materials, as well as program forms and social media presence.

· Assist program staff in correspondence with juvenile justice agencies

· Provide general office support to the BronxConnect team.

· Oversee the maintenance of office supplies & materials – ordering, storing, etc.

· Assist with grant writing and contract compliance.

· Excellent communication, planning, organizational and multi-tasking abilities.

Qualifications:

· Must have strong WRITING and ADMINISTRATIVE skills.

· Must have a Bachelor’s Degree or years of administrative work experience.

· Proficiency in Word Processing (MS WORD), and Spreadsheets (EXCEL).

· Experience with billing invoices, providing accurate milestone projections.

· Working experience with database systems, including data entry and database system maintenance.

· Highly creative; skilled multi-tasker, precise attention to details and initiator;

works well under pressure with competing priorities under strict time constraints.

· Bilingual in English and Spanish a plus.

· Familiarity with urban youth and urban church community a plus.

Position Type: Full-time, requires some evening and occasional weekend hours

Compensation: $21 ~ $29 / hourly rate, commensurate with experience.
