Job description
Job Summary:
This position is responsible for performing a variety of administrative functions within the office. The incumbent responds to incoming calls, screens callers, and routes calls to the appropriate party. The position is also responsible for taking service calls and assigning these to the mechanics.
Essential Responsibilities:
- Provide outstanding customer service, accurate information and assistance to customers, employees, and management in a cheerful and courteous manner.
- Perform general office duties to include but not limited to photocopying, faxing, mailing, and filing.
- Administer office tasks, such as contacting vendors for service calls, setting up meetings, and reordering supplies.
- Answer phones using company script and transfer to appropriate staff member.
- Enter service call information into designated computer system and assign these to maintenance employees.
- Greet and assist visitors.
- Assist with administrative duties for vending services.
- Assist Route Merchandisers with electronic device downloads.
- Ensure all in-person, phone, electronic, and written interactions and communication is respectful, concise, and articulate.
- Establish priorities for managing own work while staying on a focused, efficient path for achieving results.
- Act as business ambassador and presents a positive and polite image of the company.
- Performs other duties as assigned.
Qualifications:
Educational Requirements:
- High School Diploma or GED required.
Work Experience:
- One to two years’ prior work experience in administrative, bookkeeping, or receptionist role strongly preferred.
- Experience using a telephone, fax machine, personal computer, copy machine, printers, and calculators and troubleshooting these when issues arise.
- Intermediate knowledge and understanding of the following computer software programs: Microsoft Office – Word, Excel, Outlook.
Additional Qualifications:
- Previous experience in a role exercising common sense and good business judgement strongly preferred.
Other Skills and Abilities:
- Must be able to follow oral and written instructions quickly, correctly and efficiently.
- Must be able to multi-task in a busy work environment.
- Must be able to follow through to completion on all assigned tasks and complete all necessary paperwork as required by management.
- Must be able to demonstrate adequate reading and math skills to appropriately complete all work as assigned. This would include completing all required paperwork in a timely fashion to meet all deadlines and monthly closings.
- Must have tact, patience, and a positive disposition as well as be willing to handle customers and employees effectively throughout the workday.
- Must have a desire to be proactive and create a positive experience for others.
- Must be able to attend work regularly and adhere to agree upon work schedules.
- Must have the ability to learn and use new software programs quickly and efficiently.
Physical Demands:
While performing the duties of this job, the employee is continuously required to sit and talk or hear others in person, by telephone, or virtually. The employee is frequently required to stand and use hands and fingers. The employee is frequently required to walk. The employee must occasionally lift and/or move up to 10-20 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, and ability to adjust focus.
