Administrative Assistant

We are an HOA management company located in Mesa, AZ. Snow Property Services has been in business for over 20 years! We are currently hiring for an administrative assistant to support our office.

Job Duties:

· Scan in AP invoices, daily. Upload to AP folder.

· Update homeowner accounts based on incoming homeowner info forms.

· Scan in various documents.

· Process return mail.

· Assist Operations Director with new community uploads to software system.

· Mail out statements on the 15th & 16th of the month. AR department will provide statements when they are ready to be mailed out.

· Website administration.

· Assist with sending out mailings as needed.

· Assist with other tasks as needed.

· May be asked to assist at reception when receptionist is out for an extended period of time.

· Temporarily while compliance specialist is on maternity leave;

o Assist with administrative process of preparing compliance letters in our software system.

o Monitor the compliance email and voicemail and forward items to the appropriate community managers.

Schedule:

Our office is open Monday through Friday. Office hours Monday through Thursday are 8 AM to 5 PM, Fridays we are open 8 AM to 12 PM. Closed daily from 12 PM to 1 PM for lunch. Working hours can be discussed during the interview process.

About Our Office:

We observe business attire, with dress down Friday.

Our office closes on the following Holidays: New Years Day, President’s Day, Memorial Day, Juneteenth, Independence Day, Labor Day, Thanksgiving & the following Friday, Christmas. Other days or parts of days may be designated as holidays with pay. If a holiday falls on a Sunday, the holiday will be observed on the following Monday. If the holiday falls on a Saturday, the holiday will be observed on the preceding Friday.

We offer health care coverage via health share through Planstin. Premium is payroll deducted.

We also have supplemental health insurance available at the employee’s expense through Assurity and life insurance through TransAmerica.

Experience:

Experience with Microsoft Outlook, Microsoft Teams, Microsoft Word, and Microsoft Excel are preferred but not necessary.

Experience as an administrative assistant or reception role is preferred but not necessary.

Qualities:

An ideal Candidate would be well organized. Ability to clearly communicate in person, via phone, and via email is key.

Compensation:

$14.00 - $15.00 an hour, depending on experience.
