The University of Iowa Hospitals and Clinics department of Radiology is seeking an Administrative Services Coordinator. To provide executive level administrative support for Faculty in the UIHC Department of Radiology, performing complex administrative and scheduling assistance in a team setting, requiring recurring contact with, department heads, upper-level executives, referring providers, technologist, and public and private officials. Serve as a liaison for faculty members working in the Radiology Reading Rooms. This position requires a high level of independent thinking and judgement and is responsible for effective department wide communication and assisting in department initiatives.
Duties Include:
- Maintain effective working relationships with and serve as a primary contact for Radiology Faculty
- Provide faculty administrative support for assigned Radiology Divisions and Reading Rooms
- First point of contact, in person or by phone, for internal staff. Ensure calls are documented and triaged appropriately
- Responsible for effectively communicating patient and exam information to the Radiologist from referring providers, technologists, and other healthcare personnel
- Assist the Radiologist with communication to ordering providers when interpreting studies
- Review EPIC reading worklists and status reports to assist Radiologists in the reading workflow
- Assist in tracking, investigating, and processing external orders
- Coordinate patient procedure scheduling to ensure clinical volume is manageable for the Radiologist’s workflow and schedule
- Provide timely and professional communication with providers regarding procedure scheduling
- Responsible for over book and add-on requests from clinics for Radiologist’s clinic procedures
- Function as a superuser for the Carestream Reporting system
- Assist with efficient and timely processing of Peer Review studies
- Make decisions and exercise a high level of autonomy while performing administrative/operational support and management of the reading room
- Monitor workflow within the reading room and recommend processes to enhance patient satisfaction and clinical operations
- Manage complex faculty schedules, requiring judgment in determining meeting needs, discretion related to calendar activities, prioritization of appointments and creating multiple electronic calendar systems
- Maintain and manage division reading room schedules using the Qgenda system
- Maintain and manage division call schedules

Education Required
Bachelor’s degree in Business Administration or related field, or an equivalent combination of education and experience.
Experience Requirements
1-3 years’ experience in an administrative support role for hospital or academic faculty and leadership.
Proficient in Microsoft Office Suite (Word, Excel, Power Point, Outlook).
Working knowledge of web-based tools; databases, internet searches.
Superior written, verbal, and interpersonal communication skills.
Demonstrated experience in providing superior customer service in a healthcare or academic environment.
Demonstrated exceptional attention to detail, planning, and follow-up skills.
Demonstrated independent thinking skills to develop alternative solutions and solve problems.
Demonstrated ability to interact positively with a diverse population.
Ability to initiate and take independent action while working as part of a team.

Desirable Qualifications
Knowledge of University of Iowa Policies and Procedures.
Experience with EPIC.
Knowledge of medical terminology.
Specific customer service experience in a healthcare environment.
Working knowledge of Radiology.
