Planned Parenthood Los Angeles is seeking an experienced
Accounts Payable Specialist with excellent customer service skills to work full-time in our Downtown Los Angeles Headquarters. The Accounts Payable Specialist is responsible for the entire accounts payable process including reviewing and processing invoices in an accurate and timely manner; providing vendor support through the performance of analysis and reconciliation of invoices and maintaining business relationships; and maintaining accounts payable files and backup documentation. This position also manages mail, file storage, cash logistics and assists with monthly and annual close, documentation and processing.

Our Ideal Candidate will have the following qualifications:
- Must have two (2) years accounts payable experience.
- Must have at least a high school diploma or equivalent.
- Must have knowledge of principles and methods of financial record keeping.
- Must be proficient in MS Excel and Word.
- Must have experience with closing journal entries.
- Knowledge of Great Plains Dynamic or similar accounting software a plus.
About the position:
- Properly reviews all incoming invoices for approval, and accurately enters invoices into Great Plains with the appropriate coding and posting date.
- Properly and accurately perform the 3-way match for purchase order related invoices
- Enters data into accounting software and process check runs, which may include check, credit card and/or ACH payments.
- Pay all invoices on a timely basis, taking advantage of discounts whenever possible.
- Keeps an updated Vendor Master List, with correct addresses, payment terms, up-to-date W9 forms and other necessary information.
- Assist with monthly and annual close process, including the year end 1099 process.
- Scan and maintain accounts payable paid files and back-up documentation kept with all transactions.
- All files should be current and organized.
- Review employee expense reports and patient refund claims for accuracy and compliance with PPLA Policies and Procedures, and process through the Great Plains payables sub-ledger system.
- Deposit checks, update cash log and manage cash logistic services.
- Sort paychecks, process Agency forms and documents, filing and handle ad hoc projects as needed.
- Handles all oral and written communication with vendors regarding payables and researches problems as required.
- Perform vendor analysis and reconciliations.
- Performs general office duties including clerical accounting work.
