Under general supervision, you will provide high level administrative, accounts payable knowledge and support for the accounting department and management.

ESSENTIAL FUNCTIONS

Reporting to the Accounting Manager, you will:

  • Support and assist the Accounting Manager on a day-to-day basis in handling any variety of issues that may arise on a given day
  • Support and assist community association managers on a day-to-day basis in handling any variety of issues that may arise on a given day relating to accounts payable
  • Effectively and efficiently address concerns from homeowners
  • Effectively and efficiently address concerns from vendors
  • Answer telephone, screens calls, transfer callers to voice mail, logging phone calls, or take messages to facilitate communications and contacts
  • Process and manage daily accounts payable process by utilizing the accounts payable lockbox, accounting software and other resources
  • Maintain knowledge of key clients and contacts
  • Sets up and maintain files, materials, information, schedules and related data
  • Maintain Accounting Property Management files relating to accounts payables and vendors
  • Research and provide information materials, such as electronic data (Internet) for projects and special assignments
  • Maintain calendars, contact databases, and appointments
  • Write and prepare letters, memos, e-mails, and reports in draft and final form
  • Proofread and edit materials to ensure high quality communications
  • All other duties as assigned
Requirements:

MINIMUM SKILLS AND QUALIFICATIONS

  • Strong written and verbal communication skills
  • Ability to work as part of a team while also being a self-starter
  • Ability to work in a fast-paced environment
  • Ability to take direction and constructive criticism
  • Excellent data entry skills
  • Shows initiative and needs minimal supervision
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook, Publisher, PowerPoint)
  • Exceptional time management, prioritization, and organizational skills
  • Must be able to multi-task efficiently and effectively
  • 2-3 years of experience in Accounts Payable is preferred but not required
  • Positive attitude
  • Customer service-oriented

PHYSICAL EFFORT REQUIRED

  • Required to work at a personal computer as well as be on the phone for extended periods of time
  • Must be able to stand, sit, walk and occasionally climb
  • Ability to lift or move 10-20 lbs.
  • Ability to detect auditory and/or visual emergency alarms
