Responsibilities:

The Statesman Group is expanding and seeking a full-time accounting team member with experience in Accounts Payable/Receivable. This position will be responsible for basic accounting skills and knowledge of routine accounting functions in both accounts payable and accounts receivable. Additionally, he/she will assist in the management of construction preliminary lien notices, progress & final lien waiver releases and subcontractor payables during construction operations. The ideal candidate must have intermediate to advanced level knowledge of Excel. Knowledge of accounting systems such as Yardi Systems is a great asset.   • Receive invoices and/or other documentation and review contracts/agreements and subcontracts to ensure accuracy and compliance with defined accounting processes and procedures.
  • Manage the invoice routing and approval processes in Yardi and follow up as necessary.
  • Ensure invoices are properly coded & entered in accurate accounting period
  • Review and reconcile vendor statements.
  • Research and resolve invoice discrepancies and disputes.
  • Record deposits of checks and electronic payments in a timely and accurate manner in accordance with company policies.
  • Maintain schedule of recurring payments.
  • Collect, verify & maintain vendor W-9 Forms
  • Assist with processing 1099 forms in accordance with IRS guidelines
  • Serve as main point of contact for vendors and respond to inquiries and requests.
  • Generate and distribute A/P checks or electronic payments
  • Calculate and report monthly sales tax for multiple entities
  • Manage credit card account limit and collect credit card receipts for reconciliation to monthly credit card statements
  • Complete credit applications as needed for new Vendors/Suppliers
  • Provide support to Accounting Department, Property Management and Construction Team
  • Manage process for proper coding of construction invoices and payment applications
  • Manage collection of monthly lien releases for subcontractor pay applications and vendor invoices.
  • Develop, implement, and maintain construction management system, including entering projects (jobs), budgets, job cost codes, contracts, change orders, purchase orders in Yardi
  • Prepare/gather materials related to construction and cost accounting matters for monthly loan draws
  • Provide periodic reporting of construction projects

Qualifications

  • Construction Accounting / Bookkeeping experience
  • Knowledge of accounting systems a great asset (Yardi / Payscan)
  • Superb Communication Skills (written and oral)
